GTM — Go to Market
Every proposal we submit. Set the status to Won and it is added to the client list automatically (client, engagement, service line, fee and budget hours), so the team can record time on it straight away. Only Partners, and staff a Partner gives "GTM (proposals)", can see this page.

Engagement Profitability
Agreed fee (excluding VAT) compared with the cost of the hours recorded on each engagement. Each hour is costed at the hourly rate of the person's rank (Settings → Cost Rates) on the day the work was done. Draft hours are included. Profitable = margin of 20% or more · At risk = 0–20% · Loss-making = below 0. Partners only.

Cost by person
Hours by month
Staff: hours, fee share and cost
For each person, the client hours they recorded, the cost of those hours (their rank rate) and their fee share: each engagement's agreed fee is shared out by hours, so someone who did 40% of the hours on a job gets 40% of its fee. Engagements with no fee set add cost but no fee share. Click a person to see their engagements. Partners only.

Team Capacity
How busy each person has been, from their timesheets. Capacity = 8 hours × working days (Sunday–Thursday, not holidays), minus approved leave. Overloaded = more than 110% · Full = 90–110% · Some time = 60–90% · Has time = under 60%.

My Weekly Timesheet
Record hours against each client, assignment or internal activity. Submit your completed timesheet by Thursday. Timesheets follow the financial year from 1 April to 31 March.
Week 1 starts on the first Sunday on or after 1 April. Any days in April before that Sunday belong to the last week of the previous financial year. The rows marked "Fixed" (such as Office Management, Training and Meeting) are always shown; just enter your hours. Below them, search and pick the client and engagement for each row (ask a Partner if one is missing). Fixed rows left at zero are not saved. Approved leave is added automatically as a locked "Leave" row (8 hours a day, 4 for a half day). Enter hours as numbers (for example, 7.5). Your draft saves automatically a few seconds after you stop typing. Click ☆ next to a client row to make it a favourite.

Timesheet Approvals
Staff submit → reporting manager approves → a Partner gives final approval. Either reviewer can return a timesheet with a note; it reopens for the staff member to correct. Nobody can review their own timesheet.

Leave Approvals
Requests for the current leave year. Nobody can approve their own leave. A reason is needed when rejecting. Approving beyond someone's balance needs a Partner and a note (Leave Policy, section 8).

Job titles are labels only and give no authority. Rights come only from a Partner ticking them below. Partners always have full authority.

Only Partners can add or remove staff. Remove: someone with no timesheets, leave or attendance (e.g. added by mistake) is deleted; anyone else is made Inactive — they can no longer sign in and their records stay in the reports.
Reporting Hierarchy
Who reports to whom — click to open
Built from each person's "Reporting to" setting above. Timesheets and leave go to this manager first, then to the Partners. Click a name to edit that person.
The reporting structure only decides where timesheets and leave go first. It gives no system rights: a Senior Manager or Assistant Manager gets approval or access rights only if a Partner ticks them under Rights.

Fixed Timesheet Lines
Partner settings — click to open
These lines appear at the top of every staff timesheet. Only Partners can change them. Switching a line off hides it from new timesheets; hours already recorded are kept.

Clients & Engagements
Partner settings — click to open
Only Partners can see and change this list. Staff pick "Client — Engagement" from a search box on their timesheet; only Active ones appear. Setting a client or engagement to Inactive hides it from staff, and hours already recorded are kept.

Import from Excel
Fill in the H&A People client upload template (sheet "Clients": Client Name, Engagement Name, Service Line, Status, Agreed Fee, Budget Hours), then choose the file below. Columns are matched by their heading, so their order does not matter. A blank Status means Active. The upload replaces the client list: clients and engagements in the file are added or updated (service line, status, fee and budget exactly as in the file), and anything not in the file is set to Inactive. Nothing is deleted and recorded hours are kept. You will see a summary to confirm before anything changes. After uploading, you can still edit any engagement below.
Leave Settings
Partner settings — click to open
Days of leave per leave year (1 April to 31 March) for each staff category. Leave a box blank if it is not decided yet; staff in that category cannot apply for that leave type until it is set. Days are working days (Fridays, Saturdays and public holidays are not counted). Special leave (paternity, other) has no fixed balance; a Partner decides each case.

Cost Rates (per hour, by rank)
The hourly cost of each rank, used to cost engagement hours. When rates change (for example after annual increments), add the new rate with the date it starts. Hours before that date keep the old rate. Partners only.

Backup (Excel)
Download every record in H&A People (team, timesheets, leave, clients, settings and the audit trail) as one Excel file. The free database plan has no automatic backups, so please download this once a week and keep it somewhere safe, such as the firm's OneDrive. The file contains staff data — do not email it outside the firm.
Audit Trail
Partners only — click to download
An automatic record of who did what and when (timesheets, leave, team and access changes, clients, fees, rates, GTM). Nobody can change or delete it. Choose the period and download it as an Excel file.
